This Shipping Policy details everything you need to know about how we deliver your orders, ensuring transparency and clarity every step of the way.

 

1. Delivery Areas & Service Zones

We proudly offer comprehensive delivery services across Kenya. Our service is divided into two primary zones for clarity regarding shipping costs and delivery times:

  • Zone 1: Nairobi & Immediate Surroundings

    This zone includes Nairobi County and its immediate metropolitan areas.

  • Zone 2: Other Regions in Kenya

    This zone encompasses all other towns and regions within Kenya, beyond Nairobi and its immediate surroundings.

For deliveries to exceptionally remote or hard-to-reach areas within Zone 2, please contact us at sales@quantumofficefurniture.co.ke prior to placing your order. This allows us to confirm eligibility and inform you of any potential extended delivery times or specific logistical requirements.

 

2. Shipping Costs

Our shipping fees are structured to be transparent and fair, based on your delivery zone and the nature of your order. All shipping costs will be clearly itemized and displayed during the checkout process before you finalize your purchase.

  • For Zone 1 (Nairobi & Immediate Surroundings):

    We offer a convenient flat rate shipping fee of KES 1,000 for all orders delivered within Nairobi County and its immediate surrounding areas. This includes standard curbside delivery.

  • For Zone 2 (Other Regions in Kenya):

    Shipping costs are calculated based on the specific size, weight, and destination of your order. The exact shipping fee will be presented at checkout.

  • Large/Bulk & Project Orders:

    For exceptionally large, complex, or bulk orders (e.g., furnishing an entire office), special delivery arrangements and custom pricing may apply, even within Nairobi. We encourage you to contact our dedicated sales team at sales@quantumofficefurniture.co.ke for a personalized consultation and tailored quote.

  • Free Shipping Offers:

    From time to time, Quantum Office Furniture may run special promotions offering free shipping on selected items or for orders exceeding a certain value. These offers will be prominently advertised on our website and, if applicable, automatically applied at checkout.

 

3. Order Processing & Delivery Timelines

We aim to process and deliver your orders as efficiently as possible. Our timelines are broken down into processing (handling) time and estimated transit time:

  • Processing (Handling) Time:

    Orders are typically processed and prepared for dispatch from our warehouse within 0-3 business days (Monday-Saturday) after successful payment confirmation.

    Order Cut-off: Orders placed after 4:00 PM (EAT) will begin processing on the next business day.

  • Estimated Transit Time (Delivery in Transit):

    For all destinations in Kenya, the estimated transit time is within 0-7 business days (Monday-Friday) after dispatch.

  • Total Estimated Delivery Time:

    Combining processing and transit, your order will typically be delivered within 0-10 business days from the time you place your order.

  • Potential Delays:

    While we strive to meet these estimated timelines, please note that all delivery times are estimates and are not guaranteed. Delays can occasionally occur due to unforeseen circumstances such as public holidays, severe weather conditions, unforeseen logistical challenges, road accessibility issues, or other factors beyond our direct control. We will always endeavor to keep you informed of any significant delays affecting your order.

 

4. Delivery Process & What to Expect

To ensure a smooth delivery, please review the following steps:

  • Contact for Delivery Scheduling:

    Our dedicated delivery team or our trusted courier partner will contact you via phone or SMS at least 24-48 hours prior to the estimated delivery day to arrange and confirm a suitable delivery window. Please ensure the contact details you provided at checkout are accurate and current.

  • Receipt of Goods:

    Upon the arrival of your order, please ensure an individual aged 18 years or older is available at the specified delivery address to receive and sign for the goods. For security purposes, delivery personnel may require valid identification.

  • Critical Inspection Upon Delivery – DO NOT SKIP THIS STEP!

    It is ABSOLUTELY CRUCIAL that you thoroughly inspect all items immediately upon arrival and BEFORE signing the delivery receipt. This step is vital for protecting your purchase and ensuring a smooth claims process should any issues arise.

    • What to Check: External packaging damage, item count, obvious product integrity issues (cracks, scratches).
    • If You Find Damage or Discrepancies (MUST DO): You MUST clearly note the details of the damage on the delivery manifest, refuse delivery of significantly damaged items, take clear photographs, and notify our customer service team at sales@quantumofficefurniture.co.ke within 48 hours of delivery.

    Failure to follow these inspection and reporting procedures may significantly affect your ability to claim for damages or missing items under our Refund and Returns Policy.

  • Assisted Delivery (Beyond Curbside):

    Our standard flat rate delivery for Nairobi is typically curbside. If you require assistance with moving items to higher floors, specific rooms, or “White-Glove Delivery,” please inform us in advance; additional charges and arrangements will apply.

 

5. Assembly Services

Some furniture items may require assembly.

  • Professional Assembly:

    We offer professional assembly services for an additional fee. This option will be available during checkout for eligible items or can be arranged by contacting our sales team.

  • Self-Assembly:

    If you opt for self-assembly, detailed instructions and any necessary tools (where applicable) will be provided with the product.

 

6. Missed Deliveries

  • If a pre-arranged delivery is missed because no one was available at the delivery address during the agreed-upon window, or if the address was inaccessible, a re-delivery fee may be charged.
  • We will attempt to re-arrange delivery; however, repeated missed deliveries may result in the order being returned to our warehouse. In such cases, a refund (minus original shipping costs and any applicable re-delivery and re-stocking fees) will be processed according to our Refund and Returns Policy.
 

7. Order Tracking

Once your order has been dispatched, you will receive a shipping confirmation email that includes your tracking number(s) and a direct link to track your order’s progress.

 

8. Changes to Shipping Address

Any changes to the shipping address must be requested immediately after placing your order and before it has been dispatched. Once an order is in transit, we may not be able to change the delivery address, or additional charges and delays may apply.
